Use a per-recipient checklist
List the pencils, sharpener, eraser and other stationery each person needs. Compare that list with the supplied contents of stationery sets with sharpeners. Two sets with similar photographs may contain different items or quantities. Keep the count per set separate from the number of sets ordered so the total is easy to verify. Ask about any missing details rather than filling gaps from assumptions.
Check compatibility within the kit
The sharpener should suit the pencils that will actually be used. If the kit includes a particular diameter or shape, ask for compatibility confirmation where the listing is silent. A requirement for a container or two holes should be stated explicitly. School sharpeners should be chosen against the brief, not merely the product title or a colour that matches the rest of the pack.
Treat branding as a separate specification
Supply the logo and ask which component, if any, can be branded. A set photograph does not establish that every item can carry a print. Confirm the available area, method and artwork proof before approval. For an unbranded educational pack, say so; the quote can focus on the required products and quantities without assuming personalisation.
Plan assembly and delivery
Give the receiving address, contact and date the kits must be ready for distribution. If your team is adding other items, allow time for that assembly. Request packaging or split deliveries explicitly and check whether they are included in the quote. Retain the final contents list so later top-up enquiries can refer to the same specification, subject to current availability.
